Email/SMS Template Management: How to Send Emails to Candidates from the Admin Portal?

The Email/SMS Template Management feature enables administrators to configure and send automated email notifications to candidates from the Admin Portal.

Emails can be triggered in multiple scenarios, such as:

  • Candidate registration confirmation
  • Test invitation emails
  • Assessment reminder notifications
  • Pass/Fail communication after assessment completion
  • Sharing test links and assessment access information

Administrators can create and customize templates with dynamic placeholders, allowing personalized communication such as displaying each candidate’s name automatically in emails.


Why Use Email/SMS Templates?

The Email/SMS Template feature helps organizations:

  • Automate candidate communication
  • Send personalized notifications at scale
  • Notify candidates about assessments and updates
  • Improve candidate engagement and communication consistency
  • Reduce manual effort in sending emails individually

To configure email or SMS templates:

Admin Settings → Candidate Panel → Email/SMS Template

From this section, administrators can create, edit, enable, or disable templates as required.

Available Email Templates

The platform provides multiple template types for candidate communication.

The platform supports:

For example, dynamic variables can automatically populate candidate-specific information such as:

  • Candidate Name
  • Assessment Information
  • Test Link
  • Other configured details

This ensures every candidate receives a personalized email without manual editing.

Example: Each candidate may receive an email displaying their own name dynamically.


Registration Confirmation Email (Candidate Registration)

When candidates are added to the platform, the system can automatically send a registration confirmation email.

This applies when candidates are:

  • Added manually through the Admin Portal
  • Uploaded using bulk import via Excel file

In both cases, the Registration Confirmation Email Template is triggered (if enabled).

When is this email sent?

The email is shared when candidate data is uploaded to the portal for the first time.


How to Send Test Invitation Emails to Candidates

Administrators can send invitation emails while assigning tests to candidates.

Steps to Assign Test and Send Email

  1. Navigate to Test Manager Module.
  2. Hover over the Action icon.
  3. Click Assign Test.
  4. Click Assign Test to Candidate (first left label).
  5. Add candidate email IDs in the text area.

Alternatively:

  • Use the sample Excel file to upload candidate email addresses.

The system sends invitation emails based on the enabled template.





Types of Invitation Emails

Depending on enabled templates in the Email/SMS Template settings, administrators may see options such as:

Important Note About Candidate Registration

Note: Invitation emails can be sent even if candidates are not registered on the Think Exam Portal.

When:

Want to notify candidates via email is enabled,

the platform can send a candidate invitation link directly to the provided email addresses.

This allows administrators to invite candidates without requiring prior registration.


The platform also supports conducting exams using an Access Code.

In this scenario:

  1. Generate an Access Code from the Think Exam Panel.
  2. Share the assessment link with candidates.
  3. Embed the link on your website (if required).
  4. Share the generated access code with candidates.

Benefits of Access Code-Based Assessments

  • Candidates do not require portal passwords
  • Exams can be launched directly using an access code
  • Easy for public or large-scale assessments
  • Assessment links can be embedded on websites

Note: In this use case, candidates only require the access code and do not need login credentials.


Alternative Method: Send Email to Candidates

Administrators can also send emails directly from the Test Manager module.

Steps

  1. Navigate to Test Manager.
  2. Hover over the Action button.
  3. Click Send Email to Candidates.

Available options may include:

  • Invitation Email
  • Invitation Email – Assessment Link

These options depend on which templates are enabled under:

Admin Settings → Candidate Panel → Email/SMS Template

Ensure required email templates are enabled before attempting to send emails to candidates.

Please keep in mind:

  • Registration confirmation emails are triggered during candidate creation or bulk upload.
  • Invitation emails can be sent even for unregistered candidates.
  • Dynamic text placeholders help personalize candidate communication.
  • Email behavior depends on enabled Email/SMS templates.
  • Access code-based assessments do not require candidate passwords.
