SMS and Email Feature


 SMS Settings
This functionality is used to set the Configuration details of parameter required to send the message successfully. The user can add his credentials for this if he have any.

1) Select the SMS Settings option.
2) Enter the following details: 

a) SMS URL
b) Balance URL
c) User Variable
d) Username
e) Password / API Key
f) Sender ID Variable
g)  Sender ID

Configure the message format (for example: marks, rank, result status)

Test the SMS configuration. Click Save Settings.


Email Settings

Navigate to Email Configuration and enter the required email server details, including the SMTP Server, Email ID, and Password. Enable SSL/TLS if your email provider requires a secure connection. Configure the email subject and message template as needed. Once the details have been entered, use the Test Email Configuration option to verify the settings. After a successful test, click Save to apply the configuration.


Steps to Configure WhatsApp Settings:

Navigate to WhatsApp Integration and enter the required configuration details, including the WhatsApp API/Gateway information, account credentials, and message template. Ensure that the candidate mobile number field is mapped correctly for message delivery. Once the configuration is complete, use the Test WhatsApp Message option to verify that messages are being sent successfully. After successful testing, click Save to apply the configuration.



SMS Format Setting

This feature is used to set the content format which is to be send as a message.
Select the test and template name. Write the content and insert the desired fields from the given option either from the given template or predate or test fields. Form a content and this will act as a general message to be sent worth dynamic values.

1. Send

Based on the screenshot, this is the Send window used to send SMS (or Email) to selected students. Here's a simple explanation of each option:

Send Window – SMS Tab

1. Select Test

Choose the test for which you want to send SMS or Email notifications. The student data associated with the selected test will be loaded automatically.

2. Select Template

Select the SMS or Email template that you want to send. The message content will be generated according to the selected template.

3. Select Field From

Choose the data source from which you want to filter students.

  • Pre Data – Uses information imported before evaluation (e.g., Class, Section, Roll Number).
  • Other options (if available) may include Result Data or Post Data.

4. Select Field

Select the specific field from the chosen data source that you want to use for filtering.
For example:

  • Class
  • Section
  • Batch
  • Stream

In the screenshot, Class is selected.

5. Select Students

Choose the students who will receive the SMS or Email.

Available options:

  • Select All – Selects all students displayed in the list.
  • Individual Selection – Check or uncheck specific students to send messages only to those recipients.

In the screenshot, the student mobile numbers 85********0 and 9********1 are selected.

How It Works

  1. Select the Test.
  2. Choose the SMS/Email Template.
  3. Select the Field Source (e.g., Pre Data).
  4. Choose the Field (e.g., Class).
  5. Select the required students or click Select All.
  6. Click Send to deliver the SMS or Email to the selected recipients.

This feature allows you to send notifications only to the desired group of students instead of sending messages to everyone.

Workflow

  1. Select the Email Service.
  2. Choose the Test.
  3. Select the Email Template.
  4. Choose the Field Source and Field to filter students.
  5. Select the required students.
  6. Click Preview to review the email.
  7. Click Send to deliver the email to the selected recipients.

Select the email service or SMTP configuration that will be used to send emails. If None is selected, configure an email service before sending emails.

2. Select Test

Choose the test for which you want to send email notifications. The software loads the student data associated with the selected test.

3. Select Template

Select the email template that you want to send. The email content will be generated according to the selected template.

4. Select Field From

Choose the data source from which you want to filter students.

  • Pre Data – Uses information imported before evaluation, such as Class, Section, Batch, or Roll Number.
  • Other options (if available) may include Post Data or Result Data.

5. Select Field

Select the field you want to use for filtering students.
Examples include:

  • Class
  • Section
  • Batch
  • Stream

6. Select Students

Choose the students who will receive the email.

  • Select All – Sends the email to all listed students.
  • Individual Selection – Select only the required students.

Buttons :->

Preview -> Displays a preview of the email before sending, allowing you to verify the content and recipient details.

Send -> Sends the email to the selected students using the chosen email service and template.

Cancel -> Closes the Send window without sending any emails.
